Thank you for joining Yesoid as a mentor. Your role places you in a position of trust and influence, and your presence can make a meaningful and lasting difference to the young people we support.

This document sets out the expectations and responsibilities that apply to all mentors working with Yesoid. It exists to ensure a safe, respectful and professional environment for everyone involved.

All mentors are expected to follow the requirements set out below:

  • You must maintain clear professional boundaries at all times while building a consistent and supportive relationship with your mentee. Your role is not that of a therapist, disciplinarian, or intermediary with parents.

  • You must not share your personal contact details with your mentee.

  • You must not share personal information about yourself with your mentee.

  • Contact outside agreed mentoring sessions is not permitted unless it has been formally approved by the case worker and, where the mentee is under 18, parental consent has been obtained in writing. It is important to note that you are not covered by Yesoid’s insurance or protection outside agreed mentoring hours.

  • Discuss in advance with your mentee whether they would like to be acknowledged outside the youth centre.

  • Do not take phone calls during mentoring sessions.

  • Do not have smartphones visible while representing Yesoid.

  • Do not smoke or vape while representing Yesoid.

  • Do not take photos or videos of your mentee under any circumstances.

  • Information shared by a mentee must be treated as confidential and handled with sensitivity. You can view our Confidentiality Policy here

  • Please ensure you are familiar with our Giving Lifts to Mentees Policy. You can view our Giving Lifts Policy here

  • Under no circumstances should you accept a personal gift of any value from a mentee or their parent, with the exception of mishloach manos.

  • Under no circumstances should you give a personal gift of any value to a mentee or their family, with the exception of a small mishloach manos consisting of food items only.

  • Mentors must not provide money, vouchers, prizes, or any other form of financial or material incentive to a mentee unless this has been formally approved in advance by Yesoid.

  • Avoid favouritism.

  • Emergency contact details for mentees must be accessible at all times.

Safeguarding at Yesoid

  • Safeguarding is everyone’s responsibility.

  • An Enhanced DBS check must be completed before starting, unless you already hold one that is in date.

  • Yesoid reserves the right to carry out annual DBS checks.

  • You must be familiar with Yesoid’s safeguarding policies, Designated Safeguarding Leads (DSLs), and reporting pathways.

  • Any safeguarding concern must be reported immediately.

  • Confidentiality must never be promised in matters relating to safeguarding.

  • Safeguarding concerns must never be investigated by mentors.

  • Mentors must not communicate directly with parents under any circumstances. All communication with parents is managed by Yesoid staff.

  • Concerns or feedback must be passed through the appropriate internal channels.

  • Social media presence and public online content must reflect Yesoid’s values and must not risk reputational damage.

Attendance and Payment

  • Notify Yesoid as early as possible if you are unable to attend a session.

  • Understand that mentors are not paid for sessions they do not attend.

  • Be aware that repeated non-attendance without notice may result in suspension.

  • Follow the payment agreement provided, which sets out rates, payment processes, and expectations.

  • You are responsible for managing your own tax arrangements in line with HMRC requirements.

Health and Safety

  • Mentors must sign in and sign out using the confidential sign-in book located by the front door at the start and end of each session.

  • The first aid box is situated at the top of the stairs by the sink. All accidents and incidents must be recorded in the incident book located inside the first aid box.

  • Inform your line manager if first aid supplies are used and need replacing.

  • Be familiar with fire safety procedures and evacuation routes.

Forms and Reporting Requirements

  • Complete weekly session feedback forms and monthly surveys to support safeguarding, monitoring, and service improvement.

The following forms will be provided to you. Please ensure the appropriate forms are completed accurately and submitted at the required times:

  • Offsite Trips Form

  • Mentor Session Reflection Form

  • Baseline Assessment

  • Midline – Progress and Wellbeing Check-In (every 6 months)

  • End of Project – Closure and Impact Report

  • Incident & Concern Reporting Form 

Timely and accurate completion of these forms is essential to support safeguarding, monitoring, evaluation, and service improvement.

All organisational policies, including safeguarding information, our Public Liability Insurance certificate, Complaints and Reporting Form, Suggestion Box, and related governance documents, are available via the footer of the Yesoid website.

Mentors are expected to familiarise themselves with these documents.
